Job Summary:

Franklin County Community Meals Program (FCCMP) seeks a dynamic, community-oriented Meal Site Coordinator with strong leadership skills to join our Orange Community Meal Site every Thursday.

Compensation:

This is a split location, part time, hourly position with a pay rate of $18/hr at 10-12 hours per week. It is expected that the employee will spend 6-10 hours a week at the Orange Meal Site and 2-6 hours a week at the Orange Food Pantry. The Executive Director will supervise Orange Meal Site duties and the Pantry Coordinator will monitor and determine the length and substance of hours at the Orange Food Pantry. The Orange Meal Site responsibilities will be deemed paramount above Orange Food Pantry duties.

Franklin County Community Meals Program (FCCMP) is a 501c3 non-profit whose mission is to work in partnership with the community to alleviate hunger. FCCMP programs include 4 free community meal sites in Greenfield, Turners Falls, Orange, and Northfield, the Orange Food Pantry, and monthly Mobile Food Bank in Turners Falls. Community Meal Site Program Responsibilities

Kitchen Coordination and Monitoring:

  • Effectively train volunteers in coordination with the Volunteer and Program Coordinator
  • Ensure food stored on site is labeled, dated and stored appropriately 
  • Oversee site opening and break down according to FCCMP SOPs
  • Monitor and work with volunteers while leading and overseeing food preparation to ensure safe food handling regulations
  • Plan and order food in advance of service taking advantage of backstock and community resources
  • Consult with the Executive Director and Volunteer and Program Coordinator on guidelines or changes and improvements as needed
  • Work with Food Bank of WMA ordering portal, Primarius, to source and purchase food
  • Consult program resources to submit a bi-weekly menu in coordination with the Volunteer and Programs Coordinator 
  • Complete the FCCMP production record for each service
  • Engage Volunteer and Program Coordinator and Executive Director to create Standardized Recipes
  • Work with Volunteer and Program Coordinator and Executive Director to best utilize relationship with FCCDC processing center membership

Supplies and Site Organization:

  • Inventory and maintain a supply of paper and meal service supplies in coordination with the Volunteer and Program Coordinator
  • Coordinate the purchasing of food and supplies with the Volunteer and Program Coordinator
  • Ensure cleanliness and order of the meal site location and all FCCMP storage areas
  • Ensure all Food Bank, ServeSafe and site location policies are being followed regarding storage of food, cleanliness of facility and meal distribution
  • Keep all FCCMP materials neatly organized and clearly posted at the meal site
  • Coordinate the laundering of tablecloths, aprons, hot pads and towels as necessary
  • Coordinate all recycling, trash and compost with the Pantry Coordinator and/or Pantry Logistics Support
  • Maintain, store and clearly label all USDA monthly inventories and all required meal and service documentation

Community Relations Responsibilities

Funder Data and Promotion:

  • Collects data at the Meal Site using meal tracking sheets
  • Submits Statistics to the Food Bank portal, Primarius, before the 15th of each month
  • Ensures catered meals by community sponsors include signage and requested data
  • Attend events as an FCCMP representative in coordination with the Executive Director

Volunteer Communication:

  • Engage with and assist in maintaining an ongoing schedule for meals including engaging and scheduling volunteer groups in coordination with the Volunteer and Program Coordinator
  • Plan logistics with volunteer groups leading up to their meal date; field emails and phone calls from 10-4 M, 10-7 T, 10-6 W unless otherwise coordinated
  • Engage with Volunteer and Program Coordinator concerning food and supplies for volunteer sponsored meals
  • Inform Volunteer drivers of any changes to routes or recipients
  • Prompt Volunteers to sign-in and send sheets to Volunteer and Program Coordinator monthly
  • Engage with volunteers requesting community service hours in exchange for court fines, verify hours in coordinator with the Volunteer and Programs Coordinator

Client Communication

  • Maintain a current list of clients receiving delivery
  • Contact clients to receive and confirm delivery information about meals quarterly or as needed
  • Maintain delivery applications
  • Coordinate Pantry bags with Pantry Coordinator and transfer applications weekly

Social Media:

  • Maintain social media photos or information requests with the Volunteer and Program Coordinator

Food Pantry Program Responsibilities

  • Enters applications, donation weights, retail pick up information and performs inventories or other administrative responsibilities as determined by the Pantry Coordinator
  • Supports the Pantry during service hours or during volunteer hours to ensure operations at the instruction of the Pantry Coordinator
  • Constructive input on developed resources as requested by the Pantry Coordinator or Executive Director

Required Knowledge and Training

  • At least 1 year experience in Community Food Systems or Emergency Feeding Programs or 1 year experience in large scale, institutional cooking such as a school, hospital or shelter, preferred
  • Maintain ServSafe Food Protection Manager Certification and Allergens Certificate or obtain within 6 months of hire
  • Maintain required Food Bank of Western Massachusetts trainings to keep required site certifications
  • Understanding and usage for the USDA Food Buying Guide and Essentials Guide (FBWMA)
  • Attend required trainings as requested by Franklin County Community Meals Program

Added Terms

  • Employee must differentiate between Orange Meal Site hours and Orange Food Pantry hours on bi-weekly timesheet

Expected Conduct and Terms of Employment

  • Work independently and effectively with limited direction and with good humor and respect 
  • Maintain contact with Executive Director and other staff as need by email and phone
  • Must have driver license within 1 year of hire and must always maintain reliable transportation and an acceptable driving record
  • Must be able to lift up to 50 pounds and navigate entire site including stairs
  • Must be comfortable with computers including email and spreadsheets
  • Employee performance reviews occur after 6 months of hire and every year thereafter
  • Employee must be able to engage with direct deposit
